Hi,

I have a use case where different sales users should only see specific
product pricelists, while others should have access to all pricelists.

Example:
- User A should only see Pricelist A
- User B should only see Pricelist B
- Some pricelists should be visible to everyone

I’m trying to decide what the cleanest approach is in Odoo:
- record rules on product.pricelist
- security groups
- or another recommended pattern

How are you handling this in real projects?

Yes, I developed it in a short time by following the specific requirements (step rules, allowed users, and groups). It’s not a full-blown app, but it’s enough to demonstrate how access can be controlled per user

Hello,

This is a valid requirement, but Odoo does not provide this control out of the box.

In Odoo, pricelists are not user-restricted by default. All users with access to Sales can see all pricelists.

Recommended & clean approach (Real projects)
Use Security Groups + Record Rules (Best practice)

How it works:

  1. Create security groups:

    • Pricelist A Users

    • Pricelist B Users

    • All Pricelists Users

  2. Add a Many2many field on product.pricelist:

    • Example: allowed_group_ids

  3. Create record rules on product.pricelist:

    • Users can only see pricelists where:

      • allowed_group_ids contains one of their groups

      • OR pricelist is marked as “public”

This gives:

 User A → sees only Pricelist A

 User B → sees only Pricelist B

 Managers → see all

What is NOT recommended

  •  Relying only on pricelist assignment on customers

  •  UI hiding without record rules

  •  Per-user hacks (hard to maintain)

Platform limitations

  •  Not possible with Studio only

  •  Requires custom record rules

  •  Best done on Odoo.sh / On-Premise

Actually, I ended up developing a small Odoo 18 addon for this exact scenario.
It adds a Many2many field `allowed_users` on pricelists and uses record rules to restrict access.
Users in the "Own Pricelists" group only see pricelists assigned to them or public ones,
while users in "All Pricelists" can see everything.
