About the Client:


Alanya Holdings (Pvt) Ltd is the parent entity behind Midnight Divas, a prominent retail brand in Sri Lanka that specializes in lingerie, shapewear, and swimwear. Operating under a philosophy of body positivity and self-expression, the brand serves a diverse customer base through both  digital and physical channels. 

The company operates showrooms across Colombo (Thurstan), Kandy, and Negombo, complemented by an active e-commerce website offering island-wide delivery and on-demand  delivery services. Alanya Holdings is part of a broader group of companies that includes Nishika  Holdings, Little divas, and Naoelee Holdings. 

Business Challenge: 

As Midnight Divas expanded its retail footprint and online sales channels, the organization faced growing pressure to manage its operations more efficiently. Key pain points included: 

  • Manual financial processes leading to errors in accounts payable, receivable, and tax reporting 
  • Limited real-time visibility into stock levels across multiple warehouse locations
  • Disconnected systems making cross-departmental coordination difficult 
  • Lack of automated procurement workflows, resulting in stockouts and overstocking 
  • Difficulty generating accurate financial reports and inventory analytics for decision making 
The company required a unified, scalable ERP solution that could centralise its financial and inventory operations, reduce manual effort, and provide management with accurate, real-time business intelligence. 

The Solution:

Nisus Solutions (Pvt) Ltd implemented Odoo Version 18.2 Enterprise for Alanya Holdings in a  focused Stage 1 rollout covering two core modules: Accounting & Finance and Inventory &  Warehouse Management. Phase 2: Integration of Odoo with Shopify. 

  1. Accounting & Finance Module:
    The accounting implementation addressed the full financial operations lifecycle of Alanya Holdings, delivering: 
  • General Ledger with multi-currency support and generation of balance sheets, income statements, and cash flow reports 
  • Accounts Receivable management including customer invoicing, credit limit tracking, automated payment reminders, and aging reports 
  • Accounts Payable with vendor bill management, early payment terms tracking, automated bill processing, and vendor bill approval workflows 
  • Fixed Assets management covering acquisition, depreciation, disposal, and asset model  maintenance for property, plant, and equipment 
  • Journal Entries and Chart of Accounts with manual entry creation, document attachments for audit trails, and automated recurring expense entries 
  • Credit Management with automated credit control processes and customer collections tracking 
  • Bank Reconciliation to match bank statements against accounting records and generate reconciliation reports 
  • Tax Management configured for sales and purchase tax at product and company levels with periodic tax return scheduling 
  • Accounting Period Closures with user-level lock dates to prevent unauthorised edits after period close 
  • Comprehensive Reporting with export to Excel, PDF, and customizable formats

    2.  Inventory & Warehouse Management Module

          The inventory module provided Alanya Holdings with end-to-end visibility and control over its product flow across all locations: 

  • Real-time Stock Level Tracking for finished products, raw materials, and components across all warehouse locations 
  • Multi-Warehouse Management with centralized control over stock transfers between the  Head Office, Thurstan, Kandy, Negombo, and Nawala branches 
  • Flexible Inventory Costing Methods including FIFO, LIFO, and Average Costing for  accurate COGS calculation and inventory valuation 
  • Inventory Forecasting using historical sales data and demand trends to generate  automated replenishment suggestions 
  • Automated Inventory Replenishment with purchase order generation, reorder point  configuration, and vendor procurement workflows 
  • Inventory Adjustments with approval workflows for damaged, expired, or lost stock to maintain accurate records 
  • Inventory Transfer Management with real-time goods-in-transit tracking and streamlined  internal transfer approvals 
  • Inventory Reporting and Analytics including customizable real-time dashboards, turnover rate insights, and demand trend analysis 
Goals & Objectives 

The implementation was guided by five strategic goals aligned to Alanya Holdings' growth ambitions: 

  • Streamline Business Operations: Centralize accounting and inventory into a single  cohesive system, reducing manual coordination and improving day-to-day workflows. 
  • Improve Data Visibility: Leverage Odoo's real-time dashboards and reporting tools to enable management to monitor stock levels, financial status, and performance metrics instantly. 
  • Enhance Cost Efficiency: Automate accounting entries, inventory tracking, and reporting  to minimize manual errors, reduce wastage, and improve resource utilization. 
  • Empower Users and Increase Satisfaction: Simplify daily tasks for employees through Odoo's intuitive interface, from stock handling to invoice creation, leading to higher productivity. 
  • Ensure Data Security and Compliance: Leverage built-in access controls and data protection features to secure sensitive financial and inventory information.

Key Outcomes 

The Stage 1 Odoo implementation delivered measurable improvements across Alanya Holdings' core operations:

Unified Financial Management 

All financial transactions, reconciliations, and tax obligations are now managed within a single  platform, replacing fragmented manual processes.

Real-Time Inventory Visibility 

Management now has live visibility into stock levels across all branches, reducing stockouts and eliminating manual stock-count discrepancies.

Automated Procurement Workflows 

Reorder points and automated purchase order generation ensure timely restocking without manual intervention.

Scalable Foundation for Growth 

The Cloud-based Odoo Online platform  positions Alanya Holdings for future module expansions including Sales, POS, and Shopify  integration in subsequent phases.
