The Parotet Falla is a Falla association with a 20-year history, located in the City of Arts and Sciences in Valencia. It is a young committee whose values are deeply rooted in Valencian culture, the Falla spirit of brotherhood, and mutual respect.
Like any other Falla, it requires internal management, which is carried out on a volunteer basis by the Falla members. There is no major difference between a falla and any other business, as they also need to manage budgets, events, a database of clients and suppliers, and all their accounting.
For all these reasons, over a year ago the falla began using Odoo for its management, relying on the tools it offers to manage all activities and finances.
Management before Odoo
Before switching to Odoo, the falla was managed primarily using standard tools, such as Excel and email, for virtually all administrative tasks. As is common in all organizations, this method of organization created various problems, such as duplicate information, loss of details, and significant challenges regarding transparency with the rest of the falleros and falleras.
As volunteers, all the members in charge of managing the falla agreed that things could be done better. Since their work was voluntary, they needed a tool that would make their day-to-day tasks easier, streamline their processes, and allow them to enjoy the Fallas festivities more.
Implementing Odoo
After learning about the tool, they decided to try the free trial available with the 1 App Free package, which allowed them to familiarize themselves with the interface and explore the application to assess whether it would be useful to them. Once they decided that Odoo was the right solution, they upgraded to a custom license and began the implementation.
Their first step toward the change was attending the Odoo Academies held in Valencia. These free training sessions are an Odoo initiative to teach the use of different applications during full-day workshops. Thus, they attended the session for the applications they would be using and received training on how to implement the various apps.
First, they started with accounting. With this application installed, they were able to manage the association’s finances much more efficiently, simply, and transparently. All payments from the falleros were automatically recorded and traceable. Membership fees are now automated, which saved them a significant amount of time.
In addition, they began using analytical accounting, also known as cost centers. This feature now allows them to keep much more detailed track of budgets and how funds are allocated, enabling better long-term planning.
In addition, thanks to the Accounting app, Parotet is already set up for Veri*Factu, without having to rely on other tools and at no additional cost.
Later, they began managing events. Through the website created with the Events app, falleros can register and reserve their tickets, and even pay for them if necessary.
This was a game-changer for the tedious task of tracking who had paid and managing their tickets and participation in each event. Additionally, by making payments directly through the platform and having the Accounting and Events modules linked, the payment is automatically recorded in the accounting system, streamlining financial management.
Next Steps
For the Parotet falla, this is just the beginning; they are working on implementing other Odoo modules to further automate processes, streamline procedures, and grow as a falla association.
For all these reasons, Parotet recommends that other fallas use Odoo as their management software, especially because it makes the work easier for all the falleros who volunteer their time to manage the association.
