Company Overview:  

Since starting in 2006, Singha Holdings (Pvt) Ltd has grown from a small business with just one product into a large, tech-focused distribution company that covers all of Sri Lanka. Today, it is a leader in the FMCG, health, and personal care industries, with a special focus on delivering medicine and beauty products. 

The company’s success comes from its smart way of working. It uses a network of agents to reach every single target shop across the country. To stay organized and efficient, Singha Holdings uses a modern system called Odoo ERP. This system, set up with help from Nisus Solutions, helps them track deliveries in real-time and quickly meet the needs of the market. 

Singha Holdings is also the official distributor for many famous brands, including Axe Brand Universal Oil, Medimix, and the Avani Range, along with popular drinks and household goods. By combining local knowledge with world-class technology and famous brands, the company has become a trusted and essential part of Sri Lanka’s retail market.

Pre-Implementation Context:

When Singha Holdings moved to Odoo, the primary challenge was ensuring data accuracy and meeting local standards. The team matched Odoo accounts with previous Tally records and fixed ledger errors to prevent any information loss during the transition. 

To build a reliable foundation, the trial balance was corrected and opening balances were re imported. The Chart of Accounts was also redesigned to make financial reporting clearer and more useful for management. 

The final phase focused on daily operations and compliance. New workflows were established for bank reconciliation and tax, and the staff received full training. To ensure the company stayed fully compliant, all financial reports were customized to follow Sri Lankan regulations. 

Implementation details:

  • System: Odoo V13 (Multi-company setup).  
  • Timeline: Deployed in 2023.  
  • Scope: Focused on Inventory , Sales and Purchase modules for primary operations, alongside Accounting and Required Custom modules. 

Objectives:

The primary goal of this initiative was to stabilize and optimize the financial management environment within Odoo, ensuring a seamless transition from legacy systems. The specific objectives included:  

  • Establish Data Integrity: Perform a comprehensive review of the general ledger and subledgers to identify and resolve existing discrepancies.  
  • System Synchronization: Align all customer, vendor, bank, and tax accounts with historical Tally records to maintain financial continuity.  
  • Structural Optimization: Restructure the Chart of Accounts to improve reporting usability and provide more granular insights into business performance.  
  • Opening Balance Rectification: Validate and re-import opening balances and trial balance figures to ensure a clean financial starting point. 
  • Workflow Standardization: Define and implement core accounting workflows, including bank reconciliations, tax processing, and end-to-end AR/AP management.  
  • Regulatory Compliance: Customize Profit & Loss and Balance Sheet reporting formats to strictly adhere to Sri Lankan financial localization and statutory requirements.  
  • Knowledge Transfer: Conduct detailed training sessions to empower the internal team to manage end-to-end operational accounting processes independently within Odoo. 

Solution Overview: 

The solution is built on four core pillars:  

  1. Streamlined Sales & Distribution  
    By integrating the Sales module with a custom Distribution module, the system efficiently manages the company’s extensive island-wide agent network. This enables smooth coordination of sales operations based on predefined sales itineraries while improving order tracking and distribution efficiency. 

  2. Optimized Supply Chain (Purchase & Inventory)  
    The Purchase and Inventory modules work together to manage international brand procurement and local stock levels effectively. This integration minimizes excess inventory while ensuring the continuous availability of high-demand products across the distribution network.  

  3. Professional Financial Control (Accounting & Contacts)  
    The Accounting and Contacts modules serve as the foundation for maintaining financial data integrity. They centralize all customer, vendor, banking, and tax-related records, ensuring accurate transaction processing and compliance with Sri Lankan financial and tax regulations.  

  4. Data-Driven Insights (Custom Dashboard)  
    A custom dashboard was developed to provide management with a clear, high-level  overview of business performance. The dashboard transforms complex operational and financial data into easy-to-understand visual reports, enabling faster and more informed decision-making. 

Key Results:

The project successfully stabilized the Odoo system by ensuring all accounting data was accurate and financial statements were fully aligned. With a more efficient reporting structure and a well trained team, Singha Holdings has transitioned away from running Tally and Odoo in parallel. Odoo is now the company’s primary ERP system, providing the management team with greater confidence, better data control, and a single, reliable source for all financial information.
