Before Odoo
Disconnected Systems
Without ERP, SSPC used to manage business on different systems: QuickBooks for bookkeeping, spreadsheets for other tasks, and multiple messaging apps for communication.
Human Error
The legacy systems rely heavily on manual effort, leading to typos, double entry and risks of miscommunication that disrupt daily operations.
Workflow Opacity
Everything required manual tracing, which stretched the lead time to one day since operational visibility depended on only a few key personnel. “It worked,” said Benedict, Business Process & Systems Lead at SSPC, “but it did not support the complexity of our expansion.”
Why Odoo
One Database,
Entire Ecosystem
System Modularity
No-Code Customization
Odoo's MRP System
In need of a system to manage the growing business, Benedict turned to Odoo to restructure its MRP (material requirements planning) workflows within a single ecosystem, providing real-time visibility for the sales, tech, and production teams. Having implemented Odoo Inventory, Manufacturing, Purchase, Quality and more apps, SSPC streamlined its operations in the following ways.

PO Creation & Approval
Odoo eases the creation of PO (purchase orders) and reconciliation. In "Settings," SSPC enables “Anglo-Saxon Accounting” to automate inventory valuation and costing.

Having the settings reconfigured, SSPC’s purchasing workflow now looks like this:
- Create a PO in the Purchase app.
- Within a few clicks, the warehouse team confirms the receipt, validates the products from suppliers, and creates a vendor bill to pay for the expense.
- The finance team, on the other hand, utilizes Odoo's “Purchase Matching” function on the Odoo Accounting app to facilitate 3-way matching reconciliation.
Warehouse Management
On Odoo’s warehouse management system (WMS), an MO (manufacturing order) will be automatically triggered on Odoo Manufacturing alongside the creation of a PO or SO. SSPC follows a 3-step pick-and-pack process to close the production:
- Warehouse staff pick the components required.
- The production team packs the goods and registers the MO with the correct serial number before closing the production.
- Shipping out the goods!
Invoice to Shipment Label Automation
The creation and arrangement of shipment labels were previously quite repetitive, error-prone, and time-consuming. The team took 70 hours per month to handle an average of 2000 shipments.
With Odoo, the system integrates seamlessly with the world’s leading courier services, including DHL, FedEx, UPS, and more. In the Sales module, the system pulls shipment details from your SO (sales order), automates tracking and shipping labels, and attaches them to the corresponding quotations. This new workflow saves the team 70% of time, while allowing the managers to redirect manpower to higher-value tasks.
Stock Level Tracking
Odoo’s real-time integration ensures all departments stay informed with instant, location-independent project updates.
In the Inventory app, the team now manages over 1,000 SKUs via a centralized dashboard that automatically pulls tasks from the Purchase, Sales, and Manufacturing modules. This automation removes the need for manual reporting between teams, streamlining collaboration and significantly improving SSPC’s overall workflow efficiency.
Bank Reconciliation
SSPC previously managed accounting in a hybrid manner on QuickBooks and spreadsheets. The challenges are apparent: information was scattered across the two locations, making it confusing for the team.
Now, the Odoo Accounting software synchronizes data with other apps in real time. The app records all SOs and customer invoices from the Sales app, as well as POs, and imports vendor bills and POs from the Purchase apps within the same window. The system intuitively suggests existing entries that match payments. Simply click “Validate,” and the book is balanced.
Business Expansion
“Business expansion is significantly easier on the unified Odoo system.”
When starting a new project, the team can simply duplicate the entire workflow of a previous project on Odoo. This has helped SSPC in multiple ways:
- Efficient Setup: The team can launch new projects instantly, ensuring standardized service delivery and eliminating redundant setup time.
- Strategic Growth: This structured approach enables SSPC to scale efficiently while providing managers the visibility needed to identify and resolve operational bottlenecks.
- High-Value Focus: By automating workflow configuration, the company has removed the burden of manual tasks, allowing staff to reallocate their energy toward strategic initiatives
The unified workflow supported by Odoo structures SSPC operations in line with international standards, making expansion significantly easier.
Language Support
Odoo even helps to bridge the language barrier within the team. Multilingual and diverse, some of the team feel comfortable using Chinese and the rest English. Supporting 32 languages, Odoo allows team members to set up the database in the language they are most comfortable with, while following the same set of standards.
“Thanks to Odoo’s integrated nature, we are now able to manage our daily MRP procedures in unison. Coming up, we are planning to implement Employees, Appraisal and other Odoo HR apps for a complete digital transformation.”
