hello,

I want to share an issue I am facing with Odoo regarding automatic draft Delivery Notes for Sales Orders, which can cause serious problems in sequence numbering and audit compliance.

Issue: Draft Delivery Notes and sequence gaps

*When a Sales Order is created, Odoo automatically generates a draft Delivery Note.

*A sequence number is assigned immediately, even though the Delivery Note is not validated.

*If this draft Delivery Note is later cancelled, the sequence number is consumed and cannot be reused, even if the BL never existed in reality.

*This can create gaps in the sequence and incoherence between BL numbers and actual delivery dates.

Example of the problem:

DL001 – validated on 10/03/2025

DL002 – draft created on 10/02/2025, then cancelled

DL003 – validated on 05/03/2025

Problems observed:

Sequence gap: BL002 never existed officially, but the number is consumed

Date mismatch: BL003 has a validation date earlier than the draft BL002

From a fiscal and audit perspective, this is risky because Delivery Note numbers must be continuous and chronological.

Question: Is there a way in Odoo to:

*Prevent draft Delivery Notes from consuming sequence numbers prematurely

*Ensure sequence numbers are assigned only when the Delivery Note is validated

It is not possible by Odoo standard way because delivery Notes are treated as operational documents, not fiscal ones, so the sequence number is assigned at creation - even in draft.
For audit purposes, cancelled and draft documents remain fully traceable and can be documented to explain sequence gaps.

Hi,

In Odoo Enterprise v18, the automatic creation of draft Delivery Notes when a Sales Order is confirmed is standard behavior, not a defect. Odoo assigns a sequence number to the delivery as soon as the picking is created, even in draft state. If that delivery is later cancelled, the sequence number is still considered used and is not reused, which naturally leads to gaps in numbering.

From Odoo’s design perspective, delivery note numbers are treated as technical identifiers, not as fiscal or legal numbers. Because of this, Odoo allows gaps and does not enforce chronological order based on validation dates. The creation date of a delivery note and its validation date are independent, which explains why later numbers can be validated earlier than draft ones that were cancelled.

This behavior can conflict with fiscal or audit requirements in countries where delivery notes must be continuous and chronological. Unfortunately, there is no standard configuration in Odoo v18 to prevent draft delivery notes from consuming sequence numbers or to delay numbering until validation. Unlike invoices, delivery notes are not handled as fiscal documents by default.

The practical options are limited. Most companies accept Odoo’s internal numbering and rely on invoices for fiscal continuity. In regulated environments, the usual solution is to introduce a separate fiscal delivery note number that is assigned only at validation and used on printed or electronic documents. This approach requires a small customization but ensures legal compliance without breaking Odoo’s standard logistics flow.
