Challenge: Managing Rapid Growth and Scaling

Before digital transformation, Tony Wedding faced the operational problem of a rapidly growing retail chain. With 15 branches and over 500 personnel, manual management through spreadsheets and disconnected software exposed many vulnerabilities:

  • Complex Asset Management: With thousands of wedding dress samples and accessories rotating among branches, loss or confusion of usage schedules was a constant concern.
  • Information Breakdown: Information from the consultation team was not fully transferred to the photography and post-production teams, leading to prolonged service processes.
  • Delayed Reporting & Fragmented Data: Compiling financial data from 15 stores took up to 5 days, making important business decisions often emotional rather than based on real data.

Odoo Business Management Software: Synchronizing Every Touchpoint

To solve these challenges, Tony Wedding implemented a comprehensive management system, focusing on key feature groups. Currently, 95% of staff work directly on the system, helping to eliminate barriers related to geographical distance between branches completely.

1. Customer Relationship Management and Sales Management: Accelerating Revenue

Instead of manual record-keeping, all potential leads from various media channels are automatically funneled into the Customer Relationship Management (CRM) system. A standout feature of Tony Wedding’s operation is the total digitization of the sales funnel, organized by specific geographic regions such as District 7, Tan Phu, Go Vap, Binh Tan, and all the way to My Tho.

  • Visual branch tracking: The system interface allows the management team to immediately gain insights into the lead volume and the total estimated value at each specific location.

  • Granular demand classification: Each customer card is assigned color-coded tags to identify distinct statuses, such as "full service package selected," "reviewing photo samples," or "wedding date pending."


2. Rental and Inventory Management: Smart Asset Management

Odoo helps Tony Wedding accurately control the status of each wedding dress sample and accessory at each branch warehouse. The Rental application helps manage the exact status of each wedding dress: which warehouse it is in, and who has booked it on which day.

The direct link between orders and inventory check-in/check-out operations helps reduce the rate of loss and error by up to 90%, while saving 15% of the inventory management budget.


3. Integrated Project Management: Digitizing the Service Journey

Upon contract signing, a Project is automatically generated with a detailed production roadmap ranging from 2 weeks to 6 months. The entire post-production workflow is divided into specialized stages: Photo Selection, Color Grading, Quality Control (QC), Retouching, and Final Product Approval.

  • Visual Operation: The management interface enables managers to track the real-time progress of each couple, allowing them to quickly identify and resolve bottlenecks.

  • Precise Prioritization: Utilizing a smart color-coding system with tags like "URGENT" or "RETOUCHING NOTES" and specific deadlines, the team ensures tasks are handled in the correct order, guaranteeing on-time delivery for every client.

4. Accounting Software and Dashboards: Real-Time Management

Instead of waiting for manual reports, management can now monitor revenue, deposit retention rates, and costs right on intuitive dashboards. The monthly financial report compilation time has dramatically reduced from 5 days to 1.5 days.
