STRATOS INTERNATIONAL SP. Z O. O.
Before implementing Odoo, the client did not have any tools in place, as their company was just starting. The key priority for them was to get Odoo up and running as quickly as possible in order to manage their operations effectively from the very beginning. The biggest challenge is that they have multiple warehouses with specific routes for the products as they move between them before finally reaching the client. They want to ensure they don't lose track of the process to avoid stock discrepancies in the warehouses.
Their main goal is to manage everything quickly and without skipping any steps in the process. They want to integrate warehouse management systems because they don't handle the stock of every warehouse themselves, and they want to account for everything according to both Polish and international law, as they will be using a multicompany environment. Which specific business areas required improvement? Warehouse management, Invoice processing
Which Odoo modules were implemented and why?
Sales – This module was implemented as the starting point of the entire process, enabling the team to manage customer orders efficiently and track sales from initiation to fulfillment. Accounting – This module was integrated to ensure proper invoicing and accounting practices, allowing for accurate financial reporting and compliance with relevant regulations. Purchase – The Purchase module was added to facilitate the management of supplier orders, helping the company maintain control over procurement processes and manage cost prices for accurate margin calculations. Warehouse – This module was implemented to handle advanced stock movements, enabling effective inventory management and the optimization of warehouse operations across multiple locations. The Accounting 3rd Party module was implemented to ensure invoices are generated in compliance with Polish law, enabling proper legal and financial reporting. Additionally, we developed a custom module for stock picking integration, allowing external warehouse management systems to retrieve picking data from Odoo and provide feedback on the status and list of products sent to the client. Due to the complexity of the warehouse management process, we also introduced a solution to prevent negative stock levels at any location, ensuring accurate inventory management across the system. The biggest challenge we faced was the requirement to process both incoming and outgoing invoices within three days of the client accepting the agreement with us. This tight deadline meant that we had to work quickly while ensuring that all data was accurately entered and processed. To meet this challenge, we closely monitored the process, making sure that every step was completed correctly within the given time frame. During the first few days, we maintained constant communication with the client to provide support and guidance. Despite the client not having received full training yet, we ensured that they could proceed with the system smoothly and without making any mistakes. Our proactive approach helped minimize errors and enabled the client to navigate the system confidently as we worked together to meet the deadlines.
The main benefit the client gained from the Odoo implementation was that it provided the structured processes they lacked before. As the company was just starting and didn't have any existing systems in place, Odoo helped establish organized workflows for critical business operations such as sales, accounting, purchasing, and warehouse management. By implementing Odoo, the client was able to automate and standardize their processes, which were previously managed manually or without any clear structure. This transformation allowed them to move away from disorganized operations and ensured that every aspect of their business was now aligned with established procedures, making it easier to manage their growing company and reduce the risk of errors. Ultimately, Odoo gave them the tools to scale efficiently and manage their operations effectively from day one.
