I hope you are doing well. We are currently using Odoo (connected to our Outlook email servers) and would like to configure two separate outgoing mail servers so that different groups of users can send emails from different addresses:
- Recruitment team: should send emails from hr@domain.com.
- eLearning team: should send emails from academy@domain.com.
We have already set up the basic Outgoing Mail Server configuration in Odoo using our Outlook SMTP credentials. However, we need some guidance on how to properly assign each Outgoing Mail Server to the correct group of users. Our main goals are:
- Ensure that recruiters automatically use hr@domain.com when sending email from Odoo (e.g., from the Recruitment module).
- Ensure that our eLearning/LMS users automatically use academy@domain.com when sending emails from Odoo (e.g., from the eLearning module).
- Avoid any authentication issues or errors like “Client not authenticated to send mail” when users attempt to send emails from addresses that do not match their login credentials.
We would appreciate any detailed recommendations or best practices on:
- How to structure multiple Outgoing Mail Servers in Odoo so that different user groups can only send from specific email addresses.
- Whether we need to set any specific “Allowed email domains” or “Alias domains” in Odoo to enable these scenarios.
- Any potential configuration on the Outlook (Office 365) side to allow “Send As” or “Send on behalf of” permissions. (Already done)
- Any advanced configuration we may need to set on the user records or email templates to ensure that the correct “From:” address is always used.
