Hi,
I am dealing with a serious problem for which there is absolutely no information online even though it is such a common scenario, which is very strange. I want to use a custom SMTP server to send welcome emails when users sign up for the newsletter.

However, when I use the marketing automation module and create an email template, it immediately changes to sent status, which prevents me from modifying its settings.

Here are the steps to follow to reproduce the error:

1. Create a new “Start from scratch” campaign in the Marketing Automation module

2. Target: Mailing list contact, uniqueness based on normalized email (Mailing list contact)

3. Add a new Email activity.

4. Create a new email template

5. Select a blank “Start from scratch” template and save it.

The behavior currently observed:

The email template immediately changes to sent status, which prevents it from being configured. In particular, it is impossible to change the sending or reply address of the email in the Settings tab of the email template, which is essential when using an external mail server.

Adding a delay before sending or setting the campaign to stopped status does not change this.

Expected behavior:

The newly created manual email template should not immediately change to Sent status, so that it can be configured correctly.

Thank you very much for your suggestion.

Unfortunately, the email marketing and templates in the Email Marketing module and those in the Marketing Automation module work completely separately. It is not possible to create a template in Email Marketing and use it in Marketing Automation. The only option is to copy the code from one to the other in terms of content, but they remain two different templates in terms of data structure.

Furthermore, I do not have access to the database or shell because I am using the online version. In addition, I cannot find any interface that allows me to edit or delete templates created within the Marketing Automation module.

It also seems to me that this is a bug, possibly a new one, as I cannot find much information about this behavior, even though it is a very common scenario.

My Suggestion:
1. Create template separately first - Go to Email Marketing → Templates, create template there, then link it in automation

2. Edit after creation - Template may still be editable even with "Sent" status

3. Check workflow triggers - Some automation may be auto-triggering on template creation

4. Bug report - This seems like a bug in Odoo's Marketing Automation module - consider reporting on GitHub

5. Database fix - Manually reset template status via SQL or Odoo shell if needed:

template = env['mail.template'].browse(template_id)

template.write({'state': 'draft'})
